Office Manager, HR Assistant

About the role
We are looking for a structured, proactive and people‑oriented Office Manager & HR Assistant who will ensure smooth office operations while supporting the HR function with administrative and coordination tasks.
This role combines office management responsibilities with HR operational support. It does not include decision‑making in HR matters but requires a high level of responsibility, confidentiality and attention to detail.
Location: Lviv
Key Responsibilities
Office & Events Management:
- Organising and coordinating team buildings, corporate events and internal activities
- Managing office operations and ensuring a comfortable and well‑organised working environment
- Coordinating cooperation with English language schools (communication, scheduling, logistics)
- Managing the corporate insurance process (communication with providers and employees, coordination of requests)
- Coordinating company‑branded merchandise (selection, ordering, stock tracking and distribution)
- Working with vendors and external partners to ensure timely delivery of services
HR Administrative Support:
- Providing administrative support to the HR Manager
- Supporting internal HR‑related processes from an operational perspective
- Handling confidential employee information with discretion and accuracy
- Assisting with preparation and coordination of employment‑related documentation (without legal ownership)
- Maintaining internal records and tracking key HR administrative activities
We are looking for someone who:
- Is highly organised and detail‑oriented
- Can manage multiple tasks and prioritise effectively
- Communicates clearly and professionally
- Is proactive and solution‑oriented
- Has strong coordination skills
- Has intermediate or higher English level
Nice to have:
- Previous experience in office management, HR support or administrative roles
- Experience working with vendors or service providers
- Experience supporting internal events or employee initiatives
